General Job Description

Under the limited supervision of the Office Manager, the Administrative Assistant is responsible for supporting the daily functions of the RIDE Department. This role includes assisting with communication, coordination, and administrative tasks related to the department’s operations. The position involves providing service to the public, monitoring and evaluating existing services, and helping develop plans for improvements and future needs of the department. The Administrative Assistant also provides necessary reports to the RIDE Program Manager, focusing on financial activities and maintaining records in accordance with generally accepted accounting principles and Horry County policies and procedures.

Duties for this Position
  • Perform a variety of administrative duties, including data entry, typing reports, copying, filing, processing mail, answering phones, and assisting customers.
  • Assist with reviewing and preparing the department’s budget by tracking expenditures and sourcing items as needed, helping to prepare bid packages, contract documents, invoices, and maintaining payment records.
  • Provide administrative support for daily operations, including assisting with invoice processing, and preparing necessary department reports.
  • Prepare financial reports and other documents as necessary for the RIDE Program.
  • Assist with the project accounting aspects of RIDE-funded and Hospitality-funded road projects.
  • Maintain project schedules in Microsoft Project, updating timelines, tracking progress, and ensuring deadlines are met.
  • Provide support in managing work schedules and assisting in delegating tasks for department staff.
  • Communicate with local and state government agencies regarding the RIDE Program as needed.
  • Assist with responding to FOIA requests, providing the necessary documentation and records through Public Information.
  • Stay updated on relevant laws, regulations, and standards affecting the RIDE Program, and ensure compliance with procedures and operations.
  • Provide backup support for the Road and Drainage Hotline, assisting citizens with requests during normal operations and during storm events.
  • Actively contribute to the improvement of administrative processes and work cooperatively with others to ensure seamless customer service.
  • Perform other administrative duties as required to support the RIDE Program.
Position Minimum Requirements
  • Associates Degree in Business Management and/or equivalent of three-year general office/clerical management experience or high school diploma and five years of clerical/general office experience or any other relevant knowledge, skills, and abilities. Accounting knowledge preferable. Munis Experience preferable. Must have extensive experience with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Project) and Adobe software.
