General Job Description

The Office Manager reports to the CIO and works closely with IT and other County departments to obtain quotes for technology purchases. This role requires proficiency in Microsoft Office applications and familiarity with procurement, particularly technology-related purchases. The Office Manager assists with accounting, budgeting, receiving goods, and managing contracts. The ideal candidate is motivated, a self-starter, and eager to learn new technologies, with a solid understanding of IT terminology.

Duties for this Position
  • Report accounts monthly to IT Director. Responsible for the provision of administrative services for the IT/GIS Department.
  • Obtains quotes, requisitions, purchase orders, receives good and commits to inventory, creates service requests for received items.
  • Manages personal p-card transactions and financial reporting.
  • Provides customer service through greeting visitors, telephone service, and email questions.
  • Provides assistance to department management, co-workers and the general public as required. Will assist other staff in programs, events, and projects. Will perform other duties as assigned.
  • Meets all departmental employee standards, safety standards, and county standards.
  • Monitors and tracks expenditures of all funds of the department. Processes all payments to vendors and contractors.
  • Prepares various paperwork including but not limited to budget transfers, check request, departmental purchase orders for supplies, departmental invoices, etc.
  • Performs computer data entry to record/retrieve information.
  • Performs other related duties as required.
Position Minimum Requirements
  • Requires an associate’s degree and one to two years of IT Office Management/Procurement experience or an equivalent combination of education, training and experience that provide the required knowledge, skills and abilities.
  • Working knowledge of Excel, Word, Outlook.
  • Preference will be given to applicants with MUNIS experience.
  • Preference will also be given to applicants with technology purchasing and or quoting experience.
  • Must be able to pass the required pre-employment physical and background check.
  • Requires the ability to interact effectively with County staff and management, the public and community groups in a professional manner, and to convey necessary information in circumstances that may involve high stress, emergencies or deadlines.
